SCOPE

This procedures pertains to full-time Administrative/Non-Teaching Professional personnel who are either scheduled to work twelve (12) months or scheduled to work less than twelve months and were hired prior July 1, 1998. Less than twelve (12) month employees hired on or after July 1, 1998 do not accrue annual leave.

RESPONSIBILITY

Individual department heads are responsible for granting annual leave time in compliance with this procedure and for ensuring that leaves are scheduled in such a way that the department's work is accomplished in a timely fashion. The Director of Human Resources is responsible for providing guidance and assistance to department heads. The Employee Benefits Specialist is responsible for recording and monitoring annual leave time.

PURPOSE

Annual leave is a benefit provided by the college to allow for rest, relaxation and rejuvenation, which makes each employee more valuable to the institution and his/her department.

PROCEDURE

Accrual Rates - Employees accrue at the rates listed below based on a forty (40) hour week. Less than twelve (12) month employees do not accrue during months they are not regularly scheduled to work.



  1. From hire date through the fifth year of continuous employment, employees accrue one day (1) of annual leave per month.


  2. During the sixth year through the tenth year of continuous employment, employees accrue one and one-half (1 ½ )days per month.


  3. After the tenth year of continuous employment, employees accrue two (2) days per month.

Usage and Maximum Accruals - Employees must take a minimum of one-half (½) day at a time. Any exceptions to this procedure must be approved by the immediate supervisor and appropriate vice-president.

In all cases, annual leave will be calculated from the employee's date of employment. Annual leave may be taken at any time as long as the amount taken does not exceed the amount accrued.

Annual leave may be accrued to a maximum that does not exceed the amount allowed in one and one-quarter calendar years. These maximums amount to:



Processing Annual Leave Requests - The time when an employee takes annual leave is determined by their immediate supervisor and the employee. Annual leave needs to be approved in advance by the employee's supervisor.

Employees will complete the standard leave request form and submit it to their immediate supervisor for approval. The approved request will be forwarded to the Employee Benefits Specialist for recording.

Payment for Unused Annual Leave - Upon termination of employment, employees will be paid for any unused annual leave accrued up to the time of termination.
